Job Description

- Provide full secretarial and admin support to the project team and department (Manufacturing)

- Develop and maintain a proper and user-friendly life and document control system for recording and tracking all related documents as well as for the efficient management.

- Perform data entry, recording, printing and filing duties.

- Attend meetings, take minutes of meetings, and maintain records for the operations and project team.

- Follow up on payment terms and claims process of assigned projects.

- Follow up on project logs updated by each division, to proactively prepare: resources, equipment and time management for project team.

- Assist in collecting and checking staff claims and invoices; prepare, submit and follow up the various orders (if any); keep stock of material supplies for the department.

- Assist in monitoring payment schedule and status, cooperate with division admin and accountant team.

- Double-check all expenses raised for Project Manager to approve and undertake any ad-hoc admin duties as required.

Job Requirement

- Proficient in MS Office applications (Excel, Word, PowerPoint)

- Professional and pleasant personality with good written and verbal communication interpersonal skills (will interact with many parties: sub-con, division, site up team, local suppliers, client, accountant, managers,...)

- Proactive, well-organized, detail-oriented, hightly resourceful and follow-up skills.

- Willing to learn, do multiple tasks and be able to work in a fast-paced environment.

- Good at time management and planning skills.

- Work independently as well as in a team.
